Privacy Policy

Effective October 1, 2026

1. Who We Are — Your Privacy Is the Backbone of Our Business

FieldMatrix, Inc. (“Field Matrix,” “FM,” “we,” “our,” or “us”) operates the Field Matrix platform, Field Matrix applications, fieldmatrix.app, and Scout, our AI-powered farm assistant, including text messages exchanged with Scout.

Field Matrix was created to help farmers use their own information, together with aggregated agricultural data, analytics, benchmarking, and artificial intelligence, to make better decisions for their farming operations.

Protecting the privacy of farmers and their farming operations is fundamental to how Field Matrix is designed.

Questions about this Privacy Policy or your information may be directed to:

4. Farmer Data, Identity, and De-Identification

Your Farm Records Are Yours

The underlying farm records you provide to Field Matrix remain your records.

By using Field Matrix, you give Field Matrix permission to host, store, organize, process, analyze, display, and otherwise use those records as reasonably necessary to provide and improve Field Matrix and the services you request.

Farm Comparisons Are About Data Points — Not Farmer Identity

Field Matrix is designed so that benchmarking and farm-to-farm comparisons can be performed using agricultural data points without disclosing information intended to directly identify the farmer or farming operation contributing those data points.

When information contributes to aggregated benchmarks, comparisons, trends, or insights, Field Matrix will not disclose your name, farm name, field name, street address, telephone number, email address, or other information intended to directly identify you or your farming operation as the source of the data.

For example, Field Matrix may compare data points involving:

  • soil characteristics;
  • soil productivity;
  • rainfall;
  • growing degree units;
  • planting dates;
  • planting populations;
  • seed characteristics;
  • fertilizer applications;
  • nitrogen timing;
  • agricultural practices;
  • crop-development stages;
  • chemical applications;
  • harvest information;
  • yield;
  • costs; and
  • other agricultural variables.

The objective is to compare the agricultural data points and practices — not identify the farmer or farm behind those data points.

5. Internal Identifiers and Additional Privacy Protection

Field Matrix may assign accounts, farming operations, fields, and other records random or unique internal identifiers, including Globally Unique Identifiers (“GUIDs”), account identifiers, field identifiers, or similar identifiers.

These identifiers may be used to reduce unnecessary association between identifying account information and agricultural records and to enhance privacy, security, system organization, and data management.

Field Matrix may separate identifying account information from agricultural datasets where reasonably appropriate.

The use of identifiers, pseudonymization, de-identification, encryption, or other security measures reduces certain privacy and security risks but does not guarantee that unauthorized access can never occur.

6. Aggregated and De-Identified Data

Field Matrix may aggregate, de-identify, pseudonymize, analyze, and use agricultural information to:

  • create agricultural benchmarks;
  • compare similar farming operations;
  • identify agricultural patterns and trends;
  • generate insights and recommendations;
  • improve Field Matrix;
  • develop new Field Matrix features;
  • improve Field Matrix analytics, algorithms, and models; and
  • provide useful information to Field Matrix users.

Field Matrix will not use aggregated or de-identified benchmark information to disclose the identity of an individual farmer or farming operation.

Field Matrix may retain and use aggregated or de-identified information that no longer reasonably identifies an individual user, subject to applicable law.

7. How We Share Information — Farmer Identity Is Not the Product

Field Matrix does not sell your personal information.

Field Matrix may share information in the following limited circumstances:

Service Providers

We may provide information to companies that help us operate Field Matrix, including cloud-hosting providers, AI providers, communications providers, analytics providers, security providers, and other technology vendors.

These providers may access information only as permitted to provide their services to Field Matrix and subject to applicable contractual and legal restrictions.

Our AI provider does not use Field Matrix user data to train its general-purpose models.

People You Authorize

Information may be shared with team members, employees, family members, agronomists, consultants, dealers, or other persons or organizations to whom you expressly provide access.

Connected Services

We may exchange information with third-party services you connect to Field Matrix when necessary to perform the functions you request.

Nearby Agricultural Issue Alerts

When scouting information identifies a pest, disease, or other agricultural issue, Field Matrix may alert other Field Matrix users in a surrounding geographic area that the issue has been observed nearby.

Such alerts will not identify the farmer who reported the condition or the specific field on which it was observed.

Benchmarking and Comparisons

Farm comparisons and benchmarking are performed using aggregated, de-identified, pseudonymized, or otherwise protected data points where appropriate.

Field Matrix will not disclose the name of the contributing farmer or farming operation through these benchmark comparisons.

Legal Requirements

We may disclose information when reasonably necessary to comply with applicable law, court orders, subpoenas, governmental requests, or to protect the rights, property, security, or safety of Field Matrix, its users, or others.

Business Transactions

If Field Matrix is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to applicable law and the privacy commitments applicable to the information.

8. We Do Not Sell Your Individual Farm Information to Market Products to You

Field Matrix does not sell your personally identifiable farm information to seed companies, fertilizer companies, chemical companies, agricultural equipment manufacturers, retailers, cooperatives, technology companies, marketers, or other third parties for the purpose of allowing those parties to market products or services to you.

Participation in Field Matrix does not authorize another company to obtain your individual farm records or identify your farming operation through Field Matrix for marketing or commercial solicitation unless you specifically authorize that access.

9. Email and Calendar — Only If You Connect Them

If you connect an email or calendar account, or forward emails to your Scout address, Scout looks for farm business items: grain contracts, settlements, scale tickets, invoices, and meetings or deadlines.

We keep the details Scout pulls out, for example, the bushels and price on a contract, and a short excerpt, not your full emails, and we delete them after 30 days unless you save them to your records.

Scout never adds anything to your records, sends an email, or sends a calendar invite to other people without your OK.

Disconnecting deletes our access right away.

Field Matrix's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google user data for advertising, permit people to read it except as authorized by you or as necessary for security or legal requirements, or use Google user data to train general-purpose AI models.

10. Text Messaging

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

See the Text Messaging section of our Terms of Service for how to stop texts (reply STOP) or get help (reply HELP).

11. How Long We Keep Information

We generally maintain farm records while your account remains active.

Disconnecting a connected service removes Field Matrix's authorization to continue accessing that service.

We may retain security, transaction, consent, legal, backup, fraud-prevention, and other records for periods reasonably necessary for their respective purposes or as required by law.

You may request deletion of your account and individual farm data by contacting: [email protected]

Subject to applicable legal, security, backup, and technical requirements, we will process verified deletion requests within a reasonable period.

Aggregated or de-identified information that no longer reasonably identifies you may be retained as permitted by applicable law.

12. Your Choices and Privacy Rights

Depending upon applicable law, you may have rights concerning your personal information.

You may:

  • request access to certain personal information;
  • request correction of inaccurate information;
  • request deletion of eligible information;
  • request a copy or export of eligible information;
  • disconnect connected services;
  • turn off push notifications;
  • manage Scout notifications;
  • set quiet hours;
  • request deletion of your account; and
  • exercise other privacy rights available under applicable law.

To make a privacy request, contact [email protected].

We may need to verify your identity before processing certain requests.

If applicable law provides a right to appeal our decision regarding a privacy request, you may submit an appeal by replying to our decision or contacting [email protected] and stating that you are appealing a privacy decision.

For text messages, reply STOP to stop messages from Scout. Reply START to turn them back on.

13. Security

Field Matrix uses reasonable administrative, technical, and organizational safeguards designed to protect personal and farm information against unauthorized access, acquisition, disclosure, alteration, destruction, or misuse.

Depending upon the information and system involved, safeguards may include encryption, access controls, authentication controls, internal identifiers, GUIDs, separation of identifying information from agricultural information, monitoring, logging, and other security measures.

No internet-connected information system can guarantee absolute security.

Field Matrix may modify, replace, strengthen, or otherwise enhance its security practices as technologies, threats, legal requirements, and industry practices evolve. Security improvements may be implemented without requiring an amendment to this Privacy Policy where they do not materially expand the purposes for which personal information is collected, used, or disclosed.

14. Children

Field Matrix is intended for persons 18 years of age or older.

Field Matrix does not knowingly collect personal information from children under 13 in circumstances subject to the Children's Online Privacy Protection Act.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When we make changes, we will update the effective date.

If a change materially affects how we collect, use, or share personal information, we will provide additional notice or obtain consent when required by applicable law.

Security enhancements that increase protection of information may be implemented without prior notice.
